Onboarding that’s never dull for the SM-Clinic national chain of medical clinics
Modern HR tech solutions and a Mentors Club help onboard new employees with surgical precision and full control over every aspect.
Client
The SM-Clinic medical group was founded in 2002. Since then, it has opened 30 multidisciplinary clinics in Moscow, the Moscow Region, Saint Petersburg, Ivanovo and Ryazan. SM-Clinic ranks among the Top 5 private clinics according to Forbes, RBC, Vademecum and BusinesStat.
SM-Clinic has about 8000 employees, including around 4000 medical professionals, some of them in rare specialties.
Challenge
The company’s existing onboarding system for office and medical staff lacked a unified direction and a single resource employees could turn to, including outside working hours. There were also some communication difficulties between mentors and new hires.
Mentors had to repeat the same information to every new hire and hand out onboarding materials on paper. The HR department had no way to monitor how onboarding was going or to collect statistics.
SM-Clinic needed a modern mobile onboarding solution that would be the same for all employees, from receptionists to doctors, yet with different onboarding track content for each role.
Support for the mentoring system was also important, along with mobile knowledge bases employees could turn to at any time to check information.

At SM-Clinic, we care about not only the professional but also the social onboarding of every new employee. It’s important that they feel comfortable working and growing as professionals. We were looking for a platform where we could combine a knowledge base, communication with colleagues and learning tracks.
Solution
The “Never a Dull Moment” app was built on the Talent Rocks platform. This name for an onboarding app immediately sets the tone for communication with new employees: learning work standards and fitting into the team can be genuinely engaging. Mentor support and a modern onboarding tool make it so.
The “Never a Dull Moment” app has onboarding paths for every role, grouped by area: customer service, office support departments, nursing staff, doctors and others.
Step by step, new employees work through the onboarding track, complete assignments and fill out feedback surveys at key milestones.
In parallel, each new hire’s personal onboarding track is assigned to their mentor. Mentors hold meetings with their mentees according to plan and fill out feedback surveys in the app.
Dedicated sections for mentors help them track their mentees’ progress, explore curated mentoring materials and communicate in a private group.
This makes the “Never a Dull Moment” app both an onboarding tool and a digital platform for the Mentors Club.

We received a lot of positive feedback about the platform. Support staff can turn to the knowledge bases at any time. Mentors no longer have paper reports. Overall, our onboarding processes for new employees have become more transparent and clear.
Summary
SM-Clinic got a platform that’s anything but dull: it helps employees adapt to the corporate culture faster, learn the company’s standards and ways of working, get to know colleagues, and eases the stress of the first days at a new company. And the Mentors Club keeps evolving and helps new hires grow.
